Recalls
Bringing patients back when they are due, and working the ones with no email.
A recall is the inverse of a reminder. A reminder says "you have an appointment"; a recall says "you do not, and you should".
How one is created
When you mark an appointment completed, a recall is created for each active cadence you have configured — a six-month check-up, a yearly review, whatever your speciality expects. It carries the date the patient is due back and the date the nudge should fire.
Example
A six-month dental check-up
- Visit completed on 3 March.
- Due back — 3 September.
- Nudge fires two weeks earlier, on 20 August.
- The patient gets an email inviting them to re-book. The recall flips to "sent".
The four states
| State | Means |
|---|---|
| Due | The nudge has not fired yet, or there is no email to send it to. |
| Sent | The patient has been emailed and has not re-booked yet. |
| Booked | They came back. Marked by the front desk. |
| Dismissed | Closed without a booking — they moved away, or you decided not to chase. |
The ones that need a phone call
A patient with no email address on file cannot be nudged, so their recall stays due and sits in the worklist. That is deliberate: it is a call-list, not a bug.
This list is the closest thing in the product to found money. These are people who already chose you once and are overdue — and nobody is going to email them.
The sweep runs once a day. A recall created this morning does not email this morning; it emails when its nudge date arrives.
Renaming a cadence
Recalls snapshot the label they were created under, so renaming "6-month check" to "Routine review" does not rewrite the history of recalls already issued. What you sent is what it says you sent.
Common questions
- A patient re-booked without clicking the email. Does the recall close?
- Mark it booked from the worklist. The link between a new appointment and an outstanding recall is a judgement — a patient may book for something else entirely.
- Can I stop recalls for one patient?
- Dismiss the open one. Dismissed recalls do not reopen.
