A matrix of day against hour, showing where your appointments actually sit. Most clinics are surprised by it at least once.

What to do with it

  • Staff the front desk to the peaks rather than evenly across the week.
  • Put the hours nobody books to work — the quiet block is where admin, training and equipment maintenance belong.
  • Check whether your quiet hours are genuinely unwanted or merely unoffered. A Friday afternoon with no appointments and no availability published is not evidence of anything.

That last one catches people out. The heatmap shows bookings, not demand — an hour can only look busy if it was bookable. Read it next to your working hours before concluding a slot is dead.

A use most clinics miss

Cross-read it with no-show rate. No-shows often cluster in a specific band — the first slot of the morning, or the one straight after lunch. A pattern like that is fixable with an extra reminder on those slots alone, rather than more reminders for everybody.

Does it include cancelled appointments?
It shows where appointments were placed. For outcomes, use overview metrics.
